How to get read

Have you ever encountered a report or article filled with overwhelming data and text? Did you find yourself abandoning the material mid-way through unless it was mandatory reading for school or work? Alternatively, you may have forced yourself to finish reading the report despite losing interest. Perhaps, you are even guilty of producing such uninspiring content.

However, figures and data are essential components of reports and articles, as they convey valuable information. Nevertheless, to capture the attention of your intended audience, you must make these pieces more engaging. This engagement means injecting some excitement into your reports and articles, making them more interesting and accessible to your readers. How can this be achieved?

Content
Firstly, it’s important to lose the jargon, a cardinal rule, when writing articles or reports. Every industry or profession has its vocabulary, but excessive use of such language can confuse even those within the industry. Consequently, those outside the profession may find it incomprehensible. As a result, it’s vital to use plain language and minimise jargon usage. When you do use jargon, explain it thoroughly to avoid losing your audience’s interest.

 Layout
Secondly, the layout is essential. You can have the most informative and accurate report or article, but if it’s not packaged attractively, it may not capture the interest of your readers. Although you may have access to the latest publishing software, lacking the know-how to use it efficiently can render your efforts useless. As the saying goes, “A camera does not a photographer make.” Thus, it’s advisable to engage a professional who can help you package your content in an accessible and visually appealing format. Ultimately, the success of your report or article depends on it being read and understood and, if you are fortunate, acted upon.

Imagery
Thirdly, imagery serves as the foundation upon which language is constructed. From childhood colour books and picture books to the advanced smartphone cameras that capture Instagram-worthy photos, our obsession with visuals is never-ending. Therefore, imagery in your article or report can significantly enhance quality.

Effective imagery encompasses photos, illustrations, and infographics. Photographs and graphics provide readers with a respite from extensive blocks of text, while infographics present complex information in an easily digestible format.

Finish
The finish of your article or report can be likened to interior design and landscaping, as it can transform a mere house into a comfortable home. While a report may still be functional without appropriate finishing, incorrect or inadequate finishing can discredit all the effort invested in the work. Therefore, it is advisable to engage a professional to recommend suitable finishing to ensure your work stands out and is readable.
